For our client, Rotala Ltd, a nationwide bus and coach operator managing depots and offices across the UK, these challenges meant finding a way to ensure clear and consistent communication across every location.
We were delighted to support them with a tailored solution, initially delivering bespoke video conferencing rooms before the project evolved into a wider partnership spanning multiple technologies and sites.
About Rotala
Rotala is a growing transport operator that provides bus and coach services to local authorities, businesses and the general public. The company manages depots and offices across multiple key regions in the UK, with a particularly significant presence supporting contracted services and commercial bus routes in the West Midlands.
The Challenge
Operating at scale across a geographically dispersed network, Rotala has always relied on coordinated activity between depots and teams. However, as they continued to grow through acquisitions and amalgamations of local companies, some clear communication challenges emerged.
Firstly, key operational discussions and cross-depot coordination were too often being limited by geography, with staff relying on inefficient video conferencing technology or unnecessarily travelling between locations instead. They needed a modern video conferencing facility to restore faith and productivity in internal meetings.
Wider internal communications were also becoming difficult to manage consistently. Rotala had embraced digital signage to share key messages across depots, but had done so with limited success, as information was being shared manually with USB sticks and constant intervention was required to distribute updates.
The Solution
Rotala initially came to us via a simple Google search, with a very specific requirement in mind: to address challenge one and improve video conferencing capability in a small number of rooms. This meant that we began by focusing on their immediate need for cross-site collaboration and installed a number of Yealink MVC S40 Teams Rooms systems, each mounted on robust Unicol stands, across selected locations.
Teams instantly noticed a significant improvement in the quality of their video conferencing experience across sites, with the solution we provided making it easy to hold meetings, share updates and manage calendars consistently. This success meant we were asked to roll out the same solution across further sites, upgrading a total of eight rooms overall.
Our problem-solving for Rotala did not stop there. As our partnership developed, we quickly understood that there was an opportunity to deliver more holistic communications improvements and address their wider internal challenges through a modern approach to digital signage.
We were able to address Rotala’s internal information-sharing challenges through a carefully specified digital signage solution, which included the installation of eleven commercial-grade HiSense displays across nine locations. Each unit includes an integrated Android platform, allowing the NOW Signage application to run directly on the display.
By using the NOW Signage cloud platform, teams at Rotala can now centrally manage and update displayed content across all sites in real time. This has completely removed the need for USB-based distribution, replacing a manual and inconsistent process with a streamlined and centrally controlled one.
The Results
What began as a focused video conferencing upgrade quickly evolved into a comprehensive and multi-site communications upgrade across all of Rotala’s premises.
The introduction of purpose-built Teams Rooms solutions has significantly improved collaboration between depots, whilst the rollout of digital signage means that messages can be managed efficiently and shared quickly.
