Earlier this year, Agile Comms installed a new 8×8 unified communications solution at Whyfield, modernising their telecoms and embarking on a great communications partnership. With the accountancy firm now enjoying the benefits of unified communications on a daily basis, we wanted to provide a deep dive into the solution provided and why it works so well for them.

About Whyfield

Based in Truro, Cornwall, Whyfield are a modern, established and respected accountancy firm that provides cloud accounting and business support to a wide range of clients across the UK. They are a modern business and somewhat of a pioneer when it comes to supportive flexible, hybrid working – including a leading example of a 4-day week!

The Brief

With modern processes at the heart of what they do, Whyfield are constantly looking at ways to improve business operations, along with efficiency for clients and colleagues. Communications technology is an integral part of the operations at Whyfield. They wanted to ensure they had the best system in place, not only for in-office work but also to allow for remote working without the loss of high-quality communication for clients.

Whyfield knew their phone system solution needed to offer personalisation and custom greetings and messages, along with simple call handling. This was so calls could be quickly answered and transferred, even when in different locations, without the service to clients being affected.

When we first met with Whyfield, it was clear they required a flexible, professional service.

Charlie Metters at Whyfield said:

We were recommended Agile Comms by one of our directors. Upon approaching Agile, we were met with a friendly introduction email, and lots of informative points to enable us to make our decisions. We felt very at ease with being able to ask the ‘silly questions’, and could tell that Agile were on hand to provide us with everything we were looking for as a business.

Agile’s Unified Communications Solution

Once we’d fully understood the brief, it was clear that the benefits of unified communications would help Whyfield and we therefore designed a solution on 8×8.

8×8 is a market-leading unified communications platform with unrivalled resilience and uptime. The simple, intuitive apps and long list of compatible hardware permit each organisation to make it fit their needs. Agile has worked with 8×8 for a number of years and implemented the unified communications solution in a wide variety of organisations.

Whyfield already had working Yealink phone handsets and we were able to reprovision these. This meant that, while reducing costs and sending no equipment to landfill, staff could very quickly pick up the new service.

Once approved, the installation was carefully planned and managed to keep disruption to a minimum.

On the installation process, Charlie Metters at Whyfield said:

Throughout the installation process, Agile were transparent with dates and any issues that could potentially arise, meaning we were ahead of the game if there was a loss of service. Although, we luckily had none!

Agile communicated with our current providers to ensure any background issues were dealt with between themselves, creating a smooth handover between providers. We came across a few teething problems along the way, in relation to numbers swapping over, however Agile worked with our previous provider ensuring no loss of service for clients, keeping in constant communication as they did so.

The Benefits of Unified Communications for Whyfield

With their new 8×8 solution, Whyfield now enjoy the full range of benefits of unified communications including simplified standard communications routines wherever they are. Staff can use their chosen combination of the simple mobile app, desktop app and telephone hardware. Calls are handled with personalised, professional messaging and call routing and they are all recorded to help with training and dispute resolution.

On the benefits of the new system, Charlie Metters at Whyfield said:

Since installing the new phones, we are able to take calls remotely, whether that’s from home, a local coffee shop, and beyond… we were even able to work (answering our main phone line to clients) from a local hotel whilst attending a colleague’s baby shower!

Ollie, James and Bryn are an absolute pleasure to work with, and we are thrilled to be able to work with and support their journey, from one small business to another. We would highly recommend Agile Comms to any businesses looking for a flexible communications solution, with a great supportive team on the other end of the phone.
